What settings must I follow for the proper functioning of the Sage GE connector?

This article details how synchronization works between Sage GE and your Qontable Space, as well as the important rules to follow to ensure correct posting of entries. Before getting started, please refer to the main article How can I set up synchronization of my accounting entries with Sage GE?.
 

What happens when creating a file in Qonto Accounting hub ?

When creating a Sage GE file in Qonto Accounting hub, the following items are automatically retrieved from Sage GE:
  • The chart of accounts for the current fiscal year
  • The existing auxiliary codes
  • The journal codes

How does synchronization of the accounting reference data work?

Once the connection is established, the accounting reference data is synchronized between Qonto and Sage GE as follows:
  • Third parties: third parties are sent, created, or updated in Sage GE when entries are sent
  • Auxiliary accounts: auxiliary accounts are sent, created, or updated in Sage GE
  • PCG accounts: PCG accounts are created in Sage GE when entries are sent. If an account does not exist in Sage GE, its label will be automatically set as "Account" followed by the number (example: 610123456 - Compte 610123456). You will then need to manually correct the label in Sage GE

What rules apply to entries sent to Sage GE?

Limits on entries and numbering
 
  • The label of bank entries is limited to 30 characters in Sage GE and will be truncated beyond that. The full label remains accessible in the "comment" field of the entry in Sage GE
  • If an attachment is linked to a bank entry, the Sage GE document number is populated with the invoice number. The PDF file name matches this number. Sage GE does not allow retrieval of multiple attachments for the same bank entry — this is a limitation of Sage
  • If no attachment is linked to the bank entry, Qonto fills the Sage GE document number with a unique technical identifier. Do not modify this number: it is essential for Qonto to identify any rejections by Sage GE
  • Sage GE has automatic numbering of the document number, configurable on the journal. This setting applies automatically when the entry’s document number is empty:

In Sage GE, the comments of each entry contain a code in the form #AAAAA#: a unique identifier of the entry, essential to verify its proper creation in Sage GE, do not delete it.

What accounting constraints of Sage GE must I respect?

  • It is the recording date (posting date) of the invoice that determines the fiscal year on which the entries appear in Sage GE
  • Entries containing an allocation on a control account (401, 411...) without an attached auxiliary account will be rejected by Sage GE
  • Entries posted to a closed journal or a closed fiscal year in Sage GE will be rejected by Sage GE
  • Entries with a posting date in a fiscal year not opened in Sage GE will remain pending synchronization on the Accounting page of Qontable Space and cannot be sent
  • Entries for a fiscal year prior to the two most recent open fiscal years in Sage GE will be rejected — only the two most recent fiscal years can receive entries
