The Sage GE integration allows you to connect your accounting software to your Qonto Accounting Hub to automate the synchronization of your entries. ✨ It ensures the automatic retrieval of your accounting reference data (chart of accounts, subsidiary accounts, journal codes) and the creation of your client files in Qonto.
Once the connection is established, your accounting entries (purchases, sales, expense reports, bank transactions) and their supporting documents are synchronized automatically after validation. This integration is available for accountants with access to the Qonto Accounting Hub and an active Sage GE subscription with API rights.
For more information on the general operation of synchronization APIs, please see our dedicated article: Introduction to APIs for synchronizing accounting entries.
What are the prerequisites to configure in Sage GE?
Before connecting Sage GE to your Qonto Accounting Hub, check the following points for each of your files. Without these configurations, the API will not work.
Sage API Rights
The accountant must sign with Sage the right to use the API. To do this, contact Sage’s sales department.
Accounting Periods
For each file present in Sage GE:
- An accounting period covering the current date must be open in Sage GE
- A maximum of two accounting periods must be open; they must be consecutive and not overlap (example: 2025 alone, or 2024 + 2025 if you want to process invoices from 2024)
If the current date is not covered by an open fiscal year, the API will not work:
Chart of Accounts and Journals
Each open fiscal year in Sage GE must include:
- A complete chart of accounts
- Open journals
The accrual or cash accounting setting (BNC) is done automatically from Sage GE. Contact Sage support if you need help with BNC configuration.
How can I activate the Qonto connector in Sage GE?
Activate the connector for your firm entity
- In Sage GE, on the home page, click on Entities
- Open your firm's entity via Open an entity
- Click on the Marketplace icon (shopping cart icon)
- Double-click on Regate / Qonto
- Check the box "I accept the interactions described above" and click Activate
⚠️ Do not uncheck the box if it is already checked. For any help with this step, consult the Sage documentation dedicated to activating the connector.
For any assistance regarding this part, you can consult Sage’s KB sheet: https://fr-kb.sage.com/portal/app/portlets/results/viewsolution.jsp?solutionid=211010160104628
Activate the connector for a single file
- Open the relevant file in Sage GE
- In the file’s applications, click on Marketplace
- If Qonto is not yet activated on the file, double-click on the line Regate / Qonto
- Click Activate at the bottom right
Activate the connector on all files in bulk
To activate Qonto on all your files simultaneously:
- In Sage GE, click on Multi-file Marketplace
- Select all relevant files
- Click on Activate Files
How can I retrieve and enter my Sage GE identifier in the Qonto Accounting Hub?
Retrieve the GE identifier
- In Sage GE, on your firm’s entity, click on Marketplace Settings
- Select your entity’s identifier and copy it (Ctrl+C)
This identifier is a long string of letters and numbers, unique to your Sage GE entity:
Enter the identifier in the Qonto Accounting Hub
- Log in to your Qonto Accounting Hub
- Go to the Integrations menu
- Follow the Integrations wizard and paste your Sage GE identifier at the indicated step
How does the synchronization of the accounting reference data work?
At startup, when creating the file in Qonto, the following elements are automatically retrieved from Sage GE:
- The chart of accounts for the current fiscal year
- Existing subsidiary codes
Once the API is connected, the synchronization of the reference data works as follows:
- Third parties: third parties are sent, created, or updated in Sage GE when entries are sent
- Subsidiary accounts: subsidiary accounts are sent, created, or updated in Sage GE
-
PCG accounts: PCG accounts are created in Sage GE when entries are sent. If an account does not exist in Sage GE, its label will automatically be set as "Account" followed by the number (example:
610123456 - Account 610123456). You will then need to manually correct the label in Sage GE - Analytical plans and codes: not supported at this stage by the Qonto integration
Entries: limits to know
- The label of bank entries is limited to 30 characters in Sage GE and will be truncated beyond that. The full label remains accessible in the "comment" field of the entry in Sage GE
- Sage GE does not allow retrieving multiple attachments attached to the same bank entry — this is a software limitation
- In the comments of each entry, Qonto adds a code in the form
#AAAAA#. Do not delete it: it is essential to verify the proper creation of the entry in Sage GE - If there is no attachment, Qonto fills the Sage GE document number with a unique technical identifier. Do not modify this number: it allows Qonto to identify any rejections by Sage GE.
- Sage GE has automatic numbering for document numbers, configurable on the journal in the settings. This setting applies automatically when the entry’s document number is empty:
What Sage GE accounting constraints must I respect?
To avoid entry rejections, consider the following rules:
- It is the recording date (posting date) of the invoice that determines the fiscal year on which the entries arrive in Sage GE
- Entries containing an allocation on a general account (401, 411…) without an attached subsidiary account will be rejected by Sage GE
- Entries posted to a closed journal or a closed fiscal year in Sage GE will be rejected by Sage GE
- Entries with a posting date corresponding to a non-open fiscal year in Sage GE will remain pending on Qonto’s Accounting page and cannot be sent
- Entries posted to a fiscal year prior to the two most recent open fiscal years in Sage GE will be rejected. For example, if the fiscal years 2022, 2023, and 2024 are open, entries for 2022 will be rejected — only the two most recent fiscal years can receive entries
