What settings should I know for sending entries to ACD?

Length of labels and ACK code
ACD limits the length of entry labels to 50 characters. Any label exceeding this limit is automatically truncated when sent to ACD.
Additionally, Qonto adds at the end of the label a code in the form (#AAAA#) (ACK code). Do not modify this code: it is used to verify the proper transfer of entries into ACD and to ensure the reliability of the connection between Qonto and ACD. This mechanism is necessary because ACD does not provide an external identifier field in its API.
 
Auxiliary codes
Auxiliary codes must imperatively begin with:
  • F for supplier accounts
  • C for customer accounts
The maximum length of the auxiliary account CODE is 13 characters. Any excess will cause the entry to be rejected.
 
For any new file created in Qonto, new auxiliary accounts are automatically and immediately transmitted to ACD via the API for creation there.
 
Availability of the ACD server
If you use entry sending via the API and your ACD / i-Suite server is turned off or interrupted, sending from Qonto will fail for the entire duration of the interruption. Make sure your server remains on at all times.
 
Missing attachments in ACD
Attachments (PDFs, etc.) are renamed by Qonto before sending to ACD with a unique key to avoid duplicates in the ACD DMS.
If attachments do not properly appear in ACD, this is generally related to user permissions in the ACD DMS. Here are the most common causes:
  • Employee login – Case 1: a restriction set by the firm prohibits access to the relevant section
  • Employee login – Case 2: the section is active only for a specific type of file (example: visible for a "Client" file, invisible for a "Firm" file)
  • User or client login: clients cannot upload documents directly into the DMS
