How do I initiate a capital deposit for my client?

Simplify your clients' business creation with the Capital Deposit feature available in your Accountant Hub on Qonto.

This solution allows you to initiate the capital deposit for your clients in just a few clicks and speed up their company creation process. Thanks to our artificial intelligence, information is automatically extracted from the articles of association and identity documents, which significantly reduces data entry time.

Once the file has been initiated by you, your client receives an invitation to finalize their deposit: they validate their identity and make the funds transfer. The deposit certificate is then issued within 12 business hours by email.

This feature is available for Accountants, exclusively for company creations in France.

 

What are the prerequisites to initiate a capital deposit?

Before starting, make sure you have the following:

  • Required documents:
    • Draft articles of association: The document must be complete and legible to allow our AI to extract the necessary information
    • Client's identity document: Valid identity card or passport
  • Access conditions: You must have access to your Accountant Hub on your Qonto account.

Your client does not need to have an existing Qonto account to benefit from this solution. The capital deposit process will allow them to create their Qonto business account at the same time.

 

☝️ Important: Make sure that the information in the articles of association is accurate and complete, as it will be used as the basis for automatic form pre-filling.

 

How do I initiate the capital deposit for my client?

Follow these steps to initiate a capital deposit from your Accountant Hub:

  1. Log in to your Qonto account
  2. Access your Accountant Hub
  3. Click on + Company creation button
  4. Click on the button Initiate a client capital deposit, in the top right corner
  5. Upload your client's comny statutes by clicking on the upload area
  6. Wait a few moments while our AI analyzes the document and automatically extracts the information (company name, legal form, capital amount, distribution, etc.)
  7. Then upload your client's identity documents
    1. If needed you can always add an associate by clicking the button on the bottom of the page.
  8. Review and complete if necessary the information pre-filled by the AI
  9. Validate the form to send the invitation to your client

Once these steps are completed, your client will receive an email inviting them to finalize their capital deposit.

 

What happens after initiating the deposit?

Once you have initiated the capital deposit, here are the steps your client must follow:

Client-side steps:

  1. Your client receives an email from Qonto with a secure link
  2. They click on the link and access their personal space to finalize their deposit
  3. They validate their identity via their mobile phone (SMS or video verification depending on the case)
  4. They make the funds transfer corresponding to the share capital amount
  5. Once the transfer is validated, the file is processed by Qonto

After validation: The certificate of deposit of funds is issued within 12 business hours and sent by email to both your client and yourself.

Your client can then use this certificate to finalize the registration of their company with the INPI one-stop shop.

Once the company is registered, your client will need to submit the Kbis extract to Qonto to unlock the funds and permanently activate their business account.

 

Can I track the progress of the capital deposit?

Yes, you have complete visibility on the progress of each capital deposit initiated for your clients.

From your Accountant Hub, access the Business creation section where you will find the list of all ongoing and completed capital deposits.

For each file, you can view:

  • The current status
    • Pending client registration
    • Pending client deposit
    • Pending certificate
    • Capital deposit completed
  • The information of the company being created
  • The deposit initiation date
  • Any required actions

You also receive email notifications at key moments: when your client finalizes their deposit, when the certificate is issued, and if an action is required on your part.

This transparency allows you to effectively support your clients and quickly respond to their questions about the progress of their file.

 

What are the limitations or special cases to know?

Here are some important points to note regarding capital deposits via Qonto:

Document quality: Automatic AI extraction works better with clear and well-structured documents. If the articles of association are handwritten, of poor quality, or in a non-standard format, the extraction may be incomplete and require more manual entry.

Processing times: The 12 business hours deadline for issuing the certificate applies once your client has finalized their deposit (transfer completed and identity validated). If your client takes time to complete their part, this can delay the entire process.

Modifications after initiation: Once the file is sent to your client, you can no longer modify the information. If an error is detected, you will need to cancel the request and create a new one.
