How do I manage my subscriptions with Qonto?

  • Updated

Qonto's subscription management feature streamlines your financial operations by automating subscription tracking, providing complete visibility of your active subscriptions, enabling better control over team subscription spending, and improving cash flow management by preventing unwanted renewals through proactive notifications and payment forecasting.

It automatically detects recurring payments and displays them in a dedicated dashboard, giving you full visibility over active subscriptions, upcoming charges, and payment methods.

The Subscriptions section is available on Premium, Essential, Business and Enterprise plans on 💻 web and 📱 mobile.

Owners and Admins have full access to view and manage all subscriptions. Managers can view the full dashboard but can only manage subscriptions if they have the "Create, delete, and edit cards" permission and will not see the card linked to a subscription if it belongs to a team outside their scope.

How do I access the subscriptions section?

Here's how to get there depending on the platform you're using:

  • 💻 Web: Go to Accounts payable > Subscriptions
  • 📱 Mobile: Open the Menu, then tap Subscriptions under the Invoices section

Once inside, you'll find your full subscriptions dashboard with all detected recurring payments, their details, and management options.

What information does the Subscriptions dashboard show?

The Subscriptions dashboard gives you a consolidated view of all recurring payments detected on your Qonto account. For each subscription, you can see:

  • Supplier name: The merchant or service provider associated with the subscription
  • Payment amount and frequency: How much is charged and how often (weekly, monthly, annually, etc.)
  • Next payment date: The upcoming scheduled charge date
  • Payment method: Whether the subscription is paid by Qonto card or direct debit
  • Transaction history: A complete log of past payments for that subscription

Both card payments and direct debits are supported. This gives you and your team a single source of truth for all recurring financial commitments, making it easier to forecast spend and spot unwanted charges.

How do I add subscriptions?

From 💻 web or 📱 mobile:

  1. In the Transaction section click on any transaction
  2. Toggle Mark as a subscription payment
  3. Define payment frequency and click on Mark as a subscription

To track these payments, you will receive weekly emails sent every Friday cover subscriptions due in the next 7 days (Monday to Sunday), showing subscription name, approximate due date, and expected amount.

Subscriptions linked to your Qonto account are detected automatically after two or three payment cycles. If a recurring payment is not detected automatically, you can mark it manually:

  1. Go to Transactions
  2. Click on the relevant transaction
  3. Toggle Mark as a subscription payment
  4. Define the payment frequency
  5. Click Mark as a subscription

Once added, the subscription will appear in your Subscriptions section alongside any automatically detected ones.

⚠️ Only payments made through your Qonto account (card or direct debit) can be tracked. Subscriptions paid via an external card or bank account will not appear automatically and must be added manually if the transaction is visible in Qonto.

How do I cancel or remove a subscription?

Access detailed information including payment history, methods, and upcoming charges.

  1. Access the Subscriptions section
    • On 🖥️ web:

Go to Accounts payable > Subscriptions

    • On 📱 mobile:

      Go to Menu
On the Invoices section, click on Subscriptions

  2. Select the subscription
  3. To cancel: click Block card (Qonto card) or Manage direct debits (direct debit)
  4. To remove: click the Trash icon > Remove subscription

💡 If your subscription is paid with an external card (non-Qonto), you will need to block the card directly with your card supplier

💡 Please note that removing a subscription from the list does not cancel it

Only Owners and Admins can cancel or remove subscriptions.

From the Subscriptions section, select the subscription you want to manage. Depending on the payment method, you have two options to stop future charges:

  • Qonto card payments: Click Block card to prevent further charges on that card
  • Direct debit payments: Click Manage direct debits to cancel the direct debit mandate

☝️ If your subscription is paid with an external (non-Qonto) card, you will need to block or cancel it directly with your card provider, Qonto cannot action this on your behalf.

☝️ Managers without the "Create, delete, and edit cards" permission can view subscriptions but will not be able to block cards or manage direct debits.

To remove a subscription from your list without cancelling it:

  1. Select the subscription
  2. Click the Trash icon
  3. Confirm by clicking Remove subscription.

☝️ Note that removing a subscription from the list does not cancel the underlying payment, it only removes it from your subscriptions dashboard.

How do subscription payment notifications work?

Qonto sends you a weekly email every Friday to help you anticipate upcoming subscription charges. Each notification covers all subscription payments expected between the following Monday (D+3) and Sunday (D+10), so you always have at least a few days' notice before a charge hits your account. The email shows:

  • The supplier name
  • The approximate payment date
  • The expected amount

If no subscriptions are due within that 7-day window, no email is sent for that week. These notifications are sent to the account Owner and Admins by default.

Why isn't my subscription appearing in the dashboard?

If a recurring payment is not showing in your Subscriptions tab, the most common reasons are:

  • Not enough payment history yet: Automatic detection requires 1 or 2 completed payment cycles. Recently started subscriptions may not appear immediately.
  • Irregular payment amounts: If the charged amount varies each cycle, the system may not classify it as a recurring subscription.
  • Non-recurring classification: One-off or infrequent payments may not be flagged as subscriptions automatically.
  • Payment method not linked to Qonto: Only transactions processed through your Qonto account are visible. Payments via external cards or bank accounts will not be detected.

If the payment is visible in your Qonto transaction list but not in the Subscriptions tab, use the manual marking process described above to add it.
