How to collect payments by direct debit via EBICS?

This feature is only available for French and German accounts with Smart, Premium, Essential, Business, or Enterprise plans. If you're interested, you can change your plan at any time.


It is now possible to collect payments from your clients by direct debit and check their status like any other transaction. Collect payments directly from your clients via EBICS, regardless of the beneficiary's bank. This is only available for CORE direct debits, collections can only be made on signed and valid mandates.


Firstly, it is essential to have set up an EBICS connection on your Qonto account with your accounting and/or treasury tool before setting up a direct debit mandate.

This feature is currently available only based on eligibility. Go to the Incoming Direct Debits section and discover the available action:

  • Get started → you are eligible
  • I'm interested → you are not eligible for now. However, we invite you to click and fill out the form so that we can contact you when/if you become eligible.

Who can set up a direct debit mandate?

  • The EBICS connection can only be established by an Owner, an Admin, or an Accountant. However, only an Owner or an Admin can view and approve/decline a direct debit collection.
  • The integration can only be set up on a computer. Transaction history can be viewed on the web or mobile application.

How to set up a direct debit collection?

You can initiate direct debit mandates directly from your ERP/TMS and approve or decline these transactions from Qonto.

  • I already have an EBICS connection

    From Qonto :

    • Go to the incoming direct debits section
    • Find your ERP/TMS in the list
    • Click on Connect.

    From your ERP/TMS :

    • Log in to your external tool
    • Create your list of direct debits by specifying the descriptions, amounts, and due dates.
    • Then, on Qonto, from the Business Account tab, click on Incoming Direct Debits.
    • Find your direct debits organized by Collection (a folder grouping your requests issued from your treasury tool).
    • Choose the account where you want the funds to be credited.
    • Approve the collection or reject the request.

    ⚠️ It is not possible to reject one or more transactions within the collection: it will be all accepted or all rejected. For any modification, go directly to your ERP/TMS.


  • I haven't configured EBICS on my Qonto account yet

    First, check your eligibility by going to the Business Account tab, then the Incoming Direct Debits section. If your are eligible, you will be able to click on Connect to EBICS to see the list of connectors available.

    Once the EBICS connection is finalized, go to your ERP/TMS and create your mandate list.

    • Create your list of direct debits by specifying the descriptions, amounts, and due dates.
    • Then, on Qonto, from the Business Account tab, click on Incoming Direct Debits.
    • Find your direct debits organized by collection (a folder grouping your requests issued from your treasury tool).
    • Choose the account where you want the funds to be credited.
    • Approve the collection or reject the request.

What is the price for this feature?

Find below the details of the costs incurred by using direct debits via EBICS:

  • Limit according to your plan
    • Business: 0.25€ is charged per transaction.
    • Enterprise: 0.10€ is charged per transaction.
  • Cost of returning funds for a direct debit
    • If issued within 8 weeks: €5
    • If issued after more than 8 weeks: €20

 

How to approve or reject a direct debit collection on my account?

Go to the Tasks section or Incoming Direct Debits section to find:

  • Collections to approve by clicking on the green checkmark or to reject by clicking on the red cross.
  • The account previously selected to be credited. Click the downward arrow to modify it.

NB: This is only available on the web application.


Why was this direct debit declined?

A transaction may be declined if you have reached the authorized limit over a 2-month period. Please contact the Owner or and Admin on the account to find out what is the amount.

A transaction can also be declined by our compliance team or by our partner in charge of processing direct debits to preserve the security of your account.

Why was this direct debit returned?

In this case, there are two possibilities:

  • The issuer does not have sufficient funds.
  • The issuer has requested the return of these funds from their bank.

This commonly occurs when the issuer's bank requests the restitution of funds. A new debit transaction automatically takes place on your account.

For now, these direct debits will appear as declined. It will only be marked as a return or refund when it happens after settlement.
